How to structure a retreat day

Most successful retreats follow the same natural rhythm, whatever their purpose:

  • Start gently. Begin with food, a welcome and an icebreaker so people can switch out of their normal routine.
  • Put the hardest thinking in the morning. Discussions, planning and learning sessions work best while energy is high.
  • Keep the afternoon active. After lunch, use outdoor activities, hands-on workshops or small groups instead of long talks.
  • Break every 60 to 90 minutes. Breaks are when many of the best conversations happen.
  • Leave free time. Unstructured time for walks, rest or conversation is part of what makes a retreat different from a meeting.
  • End with reflection and next steps. Finish with what people learned and what they will do next.

Tips for a successful retreat

  • Start with the purpose. Decide what people should leave with before planning a single session.
  • Don’t overfill the day. Three or four main sessions a day is usually enough.
  • Mix the formats. Alternate group sessions, small groups, individual reflection and physical activity.
  • Get people moving. Walks, outdoor activities and changes of room keep energy up.
  • Use a facilitator. An outside facilitator lets leaders take part fully.
  • Follow up. Turn commitments into an action plan and review it at a team meeting a few weeks later.
